24/7 Customer Support: Peartree offers 24/7 customer support with a live representative available to assist with any issues that may arise. This ensures that users can get help whenever they need it, minimizing downtime and ensuring continuous operation.
Encryption and Backups: Data is protected through encryption, which transforms data into a code that can only be read by authorized parties who have the key. This helps protect data from unauthorized access, modification, or theft, especially when it is transmitted over the internet or stored on external devices. Additionally, regular backups are performed to create copies of data and store them in a separate location, such as a cloud service or a hard drive, helping prevent data loss or corruption due to hardware failure, human error, or cyberattacks.
Strong Passwords and Access Control: Implementing strong passwords and access controls is crucial. A strong password should be long, complex, and unique, and should not be shared or reused across different accounts or devices. Access to the DMS is limited to authorized personnel only, based on the principle of least privilege, meaning that each user should only have access to the data and functions necessary for their role. Regular monitoring and review of access logs and audit trails are conducted to detect any suspicious or unauthorized activity.
Regular Updates and System Testing: Keeping systems updated is essential for maintaining security and functionality. This includes installing the latest versions of the DMS software, the operating system, antivirus, firewall, and other applications used with the DMS. Regular testing of the systems is also conducted to identify and resolve any vulnerabilities, gaps, or weaknesses that may compromise data security.
Educating and Training Staff: Staff are educated and trained on the importance of data security and the potential risks and threats, such as phishing, malware, ransomware, or social engineering. They are familiarized with the policies and procedures for data security, including how to create and manage passwords, how to access and use the DMS, how to report and respond to incidents, and how to dispose of data securely.

Automated Updates: The system releases updates automatically, ensuring that clients and servers are always up to date with the latest features, bug fixes, and security patches. This approach simplifies the update process for users by eliminating the need for manual intervention to install updates.
Customer Data Control: Typically, dealership management systems like Peartree ensure that the dealership retains ownership of the data they input into the system. This means that all customer information, sales records, and other business data entered by the dealership remain the property of the dealership.
Data Use and Access: While the dealership owns the data, Peartree DMS may have access to it for purposes such as system maintenance, support, and performance optimization. However, this access is usually governed by strict confidentiality agreements and data protection policies to ensure that the data is not misused.
Right to Data Portability: In alignment with data protection regulations like the GDPR, Peartree DMS likely supports the right to data portability, which allows dealerships to transfer their data to another system or service provider. This right ensures that the data can be exported in a structured, commonly used, and machine-readable format.
Automated Tools for Data Export: The system may provide automated tools or functionalities that allow users to extract their data themselves. This can include exporting data in formats such as CSV, XML, or JSON, which are commonly used for data portability purposes.
Modular Design: Peartree DMS is designed with a modular structure, allowing dealerships to add or remove modules based on their specific needs. This flexibility ensures that the system can grow with the dealership, adding functionalities as required without overhauling the entire system.
Cloud-Based and On-Premises Options: The system can be deployed either in the cloud or on-premises. The cloud-based option provides inherent scalability, allowing resources to be adjusted dynamically based on demand. This is particularly useful for dealerships experiencing rapid growth or seasonal fluctuations.
Customizable Reporting and Dashboarding: The system offers customizable reporting and dashboarding options, enabling dealerships to tailor the software to their unique operational requirements. This customization ensures that as the dealership's needs evolve, the system can be adjusted to provide relevant insights and data.
Flexible Payment Options: Peartree DMS is offered at a starting price of $100 per user per month, with flexible payment options. This pricing model allows dealerships to scale their usage up or down without significant financial burden, making it easier to adjust the system according to changing business needs.
24/7 Customer Support: Peartree provides 24/7 customer support to assist with any issues that may arise during the scaling process. This support ensures that dealerships can get help whenever needed, minimizing downtime and ensuring continuous operation.
Automated Updates and Maintenance: The system includes automated updates, ensuring that the software remains current without requiring manual intervention. This feature is particularly beneficial when scaling up, as it reduces the administrative burden on IT staff and ensures that the system remains secure and functional.
Automatic Renewal: Many software service contracts include an automatic renewal clause, where the contract renews for an additional term unless either party provides notice of termination.
Notice Period: There is typically a specified notice period that must be adhered to if either party wishes to terminate the contract before it automatically renews. This period can vary but is often 30 to 90 days before the end of the current term.
Review and Adjustments: Renewal terms may include a review period where the terms of the contract, including pricing and service levels, can be adjusted based on mutual agreement.
Notice Period: Similar to renewal, there is usually a required notice period for cancellation. This ensures that both parties have adequate time to manage the transition and any potential data migration.
Cancellation Fees: There may be fees associated with early termination of the contract. These fees can cover the remaining term's costs or any specific penalties outlined in the contract.
Data Portability: Upon cancellation, the dealership should have the right to export their data from the system. Peartree DMS likely provides tools or support to facilitate this process to ensure a smooth transition to another system.
Anti-Money Laundering (AML): The Peartree DMS meets compliance standards designed to prevent money laundering. This involves placing procedural requirements on businesses that deal in goods and accept large cash payments, ensuring that transactions are monitored and reported as necessary to prevent illicit financial activities.
CAS Rules Integration: The system integrates all CAS (Compliance and Standards) rules seamlessly. This ensures that the software adheres to relevant regulatory requirements, providing a structured approach to compliance that can be easily managed within the system.
Encryption and Backups: Peartree DMS employs encryption to protect data both in transit and at rest. Regular backups are conducted to ensure data integrity and availability in case of data loss or corruption.
Access Control and Monitoring: The system uses permission-based roles to control access to sensitive information. Regular monitoring and review of access logs help detect and prevent unauthorized access.
Regular Updates and Cybersecurity: Automated updates ensure that the system is always running the latest security patches and features. Cybersecurity measures, including business-grade antivirus protection and ongoing penetration testing, are implemented to safeguard against cyber threats.
